ONLINE CLIENT SERVICES
Suppose, if you will, that you wake up in the middle of the night afraid you have given the court reporter the wrong address for tomorrow’s 9 a.m. deposition. With online scheduling, instead of tossing and turning or lying awake, you can assure yourself in moments that you got it right—or fix it if you didn’t—and go back to sleeping the sleep of the just.
We understand that busy legal teams are constantly juggling information between multiple people, and we understand that, as much as we might like to hear your voice, there isn’t always time for you to hear ours. That’s why reporting firms now provide Online Client Centers, a complimentary suite of online services that help consolidate and streamline services 24/7.
Quicker than a phone call and more efficient than email, an Online Client Center has four components to give you immediate answers at any time, from anywhere: an interactive calendar, a case-based repository for transcripts and exhibits, a transcript-only repository, and an invoice activity record. And we know you don’t have time to struggle with new technology, so reporting firms have designed these services with simplicity in mind, requiring no special downloads or skills.
The online calendaring system allows you to view, change, or cancel the depositions you have scheduled with us—even to add new ones—whenever you like. Not just a standard send-and-receive scheduling tool, the online calendar helps eliminate last-minute problems due to scheduling miscommunications by showing you the entries exactly as they appear in our working calendar. You never have to wonder whether we got your changes because your office and ours are literally on the same page.
The calendar is designed to streamline the scheduling process by remembering key information such as your firm’s address so you don’t have to retype it every time. If you have a series of similar depositions, you can copy a previous entry and revise the necessary information instead of entering everything from scratch. You can even get MapQuest directions to the deposition with the click of a mouse.
The case repository collects all of your deposition-related documents in one place. Transcripts, exhibits, notices, and correction sheets are scanned and uploaded as soon as they are prepared, and then you receive an email telling you they are there. (The transcript-only repository improves efficiency when you don’t need the other documents.) All documents can be accessed from anywhere and shared with assistants, paralegals, co-counsel, and anyone else helping you to win a case. And because all documents are hosted on our secure server, you don’t have to worry about sharing them with anyone else; all information is protected by passwords and firewalls.
If you want around-the-clock access to scheduling, transcripts, exhibits, and invoices, just let us know and we’ll set you up. Then just go to our website and log in under “Attorney Login,” and you can view the information for every deposition you’ve scheduled with us.
This means you never have to stress over a lost transcript again, or a lost invoice either. It means that if you can’t remember whether you ordered a transcript two years ago, you can open up your calendar and check. And it means you never have to wonder if your reporter will be there in the morning.
There are a lot of uncertainties in the legal profession. Your reporting service shouldn’t be one of them. |
